Yarrow Hall - Booking Terms and Conditions

These terms and conditions govern the use of Yarrow Hall and must be adhered to by all hirers.

General Terms & Conditions:

  1. The premises must be used solely as outlined in the Hiring Agreement. Sub-letting, unlawful use, or any activity that may endanger the premises or invalidate insurance coverage is strictly prohibited.

  2. The Hirer is responsible for the supervision of the premises, its contents, and the conduct of all attendees during the hire period.

  3. The Hirer is liable for any damage to the premises or its contents, including accidental damage. Repair or replacement costs will be charged to the Hirer.

  4. The Hirer is responsible for leaving the premises in a clean and tidy condition.

  5. Keep fire doors unobstructed. Tampering with fire alarms or firefighting equipment is strictly prohibited and will result in penalties.

  6. Ensure all electrical appliances brought onto the premises have a valid Portable Appliance Test (PAT) sticker.

  7. In case of fire, immediately call the Fire Brigade and inform the Yarrow Hall Events Team.

  8. Yarrow Hall is an unlicenced venue and anyone wishing to serve alcohol, should firstly seek permission from the Hall Events Team and secondly possess the necessary licenses from Scottish Borders Council. An application for an Occasional Licence can be made via the Scottish Borders Council Website.

  9. "Bring Your Own Beverage" (BYOB) events do not require a separate license but may not be charges for on the premises. Prior permission from The Yarrow Hall Events team is required prior to BYO.

  10. When serving alcohol, the hirer is required to comply to Scottish Law and to also prevent excessive alcohol consumption to minimise the risk of disorderly behaviour. Refuse service of alcohol to intoxicated individuals or those under 18. Remove any intoxicated, disorderly, or drug-impaired individuals from the premises.

  11. The Hall does not hold an Entertainment License, a PVSL license for film screenings, or a Music License (PPL and PRS). Hirers must obtain necessary licenses for events requiring them. The hirer will ensure all gambling and lottery activities comply with relevant legislation.

  12. The hirer is required to adhere to all relevant food hygiene and safety regulations when preparing, serving, or selling food. Ensure proper refrigeration and storage of perishable items. All food items are to be removed from the premises at the end of an event.

  13. Accident reporting, the hirer is required to report all accidents and injuries to the Yarrow Hall team info@yarrowhall.com  

  14. We also please request that the hirer also reports any equipment failures to the Yarrow Hall team info@yarrowhall.com

  15. The use of highly flammable substances is stickly prohibited as are the use of naked flames or candles. The hirer is also requested to avoid combustible decorations near light fittings or heaters.

  16. The use of unauthorised heating appliances is prohibited without prior written consent from the Yarrow Hall Team, Portable LPG heating appliances are strictly forbidden.

  17. Only guide dogs are permitted on the premises, except for specific events approved by the management committee.

  18. Animals are strictly prohibited in the kitchen.

  19. Ensure all activities involving children, young people, or vulnerable groups are supervised by appropriate and qualified personnel in accordance with relevant safeguarding legislation. Provide a copy of your Safeguarding Policy and DBS checks upon request.

  20. Prohibit unauthorised advertising (fly posting) for events held at Yarrow Hall.

  21. Comply with all relevant Fair-Trading Laws when selling goods on the premises.

  22. The Hirer may be liable for cancellation fees if the booking is cancelled, and the Hall is unable to secure a replacement booking. The Hall reserves the right to cancel the hiring under certain circumstances (e.g., polling station use, unsuitable activities, emergency situations).

  23. The hirer is required to ensure that noise levels, especially during late-night and early morning hours are kept to a minimum and that the welfare and privacy of neighbours of the hall should.

  24. The Hall accepts no responsibility for stored equipment or property. Remove all equipment at the end of the hire to avoid storage charges.

  25. No alterations, additions, or installations can be made to the premises without prior written approval from the management committee.

  26. The Hiring Agreement grants permission to use the premises but does not confer any tenancy or other rights of occupation.

  27. Performances that pose a danger to the public or are of a sexually explicit nature are prohibited.

  28. The Hirer is liable for the cost of repairs, claims, losses, damages, and costs arising from their use of the premises.

  29. The Hirer must indemnify the Yarrow Hall SCIO Board of Trustees and its representatives against any such liabilities. The Hirer may be required to provide proof of insurance coverage.

Event Guidelines

  1. Event capacity must not exceed the limits specified in fire regulations for each room. Failure to comply will result in immediate event cancellation.

  2. Organisers of events with attendees under 21 are responsible for ensuring adequate adult supervision throughout the event.

  3. Yarrow Hall is an unlicenced venue and anyone wishing to serve alcohol, should firstly seek permission from the Hall Events Team and secondly possess the necessary licenses from Scottish Borders Council.   4. The use or possession of drugs or any other prohibited substances on the premises is strictly forbidden and will be reported to the police.

  5. Yarrow Hall was built by the local community in 1907 and is maintained by volunteers. please treat the premises with respect. All events must conclude by 1:00 AM with a maximum of one hour permitted for cleanup (refer to the booking form). The building will be locked no later than 2:00 AM.

Hirer Responsibilities:

  1. Hirers are responsible for ensuring all lights, appliances, and heating systems are switched off and the building is securely locked upon event conclusion.

  2. The hall must be left in the same condition as found at the start of the hire. Tables and chairs must be returned to their original positions. Used kitchen utensils and crockery must be washed and properly stored. Failure to comply may result in additional cleaning charges.

  3. Yarrow Hall is a strictly smoke-free environment. Smoking or vaping is prohibited anywhere on the premises.

  4. Hirers must familiarise themselves with the location of fire exits and extinguishers.

  5. A mandatory Fire Safety Briefing must be conducted at the start of each event, outlining the evacuation procedures and escape routes. Hirers must familiarise themselves with the designated emergency exit routes and monitor attendee count at the beginning of the event for accurate headcount during evacuation.

  6. The assembly point in case of emergency is by the Sports Pavillion to the rear of the car park.

  7. For certain events, a security deposit may be required in addition to the hire charge. This deposit will be retained in case of any breaches of these Terms & Conditions.

  8. Hirers must inform any contracted service providers about Yarrow Hall's policies and ensure that they are supervised when they are in the building.

  9. All rubbish, including cans and bottles, must be removed from the premises and disposed of appropriately. For major events, ensure all waste is removed from the site before departure.

  10. The use of bouncy castles is not covered by our insurance. Hirers wishing to use bouncy castles must obtain their own insurance coverage.

  11. Late-night events must conclude by 1:00 AM with a maximum of one hour permitted for cleanup. Noise levels must be kept to a minimum, respecting neighbouring residents.
